WhatsApp Business App vs API: When to Switch

A decision framework based on team size, message volume, automation needs and compliance, plus how to migrate without losing your number.

Comparison Migration

The free app is genuinely good. Switch only when one of these five thresholds is crossed.

The five switch triggers

  1. More than two people need to reply. The app supports one phone and a few linked devices; there is no assignment, no notes, no ownership.
  2. You send more than ~200 outbound messages a day. Broadcast lists cap out and only reach people who saved your number.
  3. You need automation tied to your systems. Order status, payment links and CRM updates require API access.
  4. You need reporting. The app gives you nothing beyond a message count.
  5. Compliance or audit requirements. Retention, access control and consent logs need a platform.

What you gain

Shared inbox with assignment and tags, template campaigns to opted-in lists, chatbots and flows, webhooks into your stack, delivery/read analytics, multiple numbers under one portfolio, and role-based access.

What you lose

  • Status updates are not available on the API.
  • Free-form outbound — outside the 24-hour window you must use approved templates.
  • The familiar phone UI; agents work in a web inbox instead.

Migrating your existing number

  1. Export chats you need for records (the API does not import history).
  2. Back up and then delete the account from the WhatsApp Business app.
  3. Run Embedded Signup with the same number and verify by OTP.
  4. Rebuild your quick replies as approved templates.
  5. Warm up: start with a few hundred messages a day and grow as the limit tiers up.

Expect a short overlap where your team misses the phone app. Two weeks in, the shared inbox and analytics make the decision obvious.
