WhatsApp Business API: The Complete 2026 Guide for Indian Businesses

What the WhatsApp Business API is, how it differs from the free app, what it costs in India, and the exact steps to go live on Meta Cloud API.

WhatsApp API Meta Cloud API Guide

The WhatsApp Business API is Meta's official channel for companies that need to message customers at scale — order updates, OTPs, support conversations and marketing campaigns — from software instead of a phone.

API vs. the free WhatsApp Business app

If you send fewer than a hundred messages a day and one person handles them, the app is fine. The moment you need automation, multiple agents, or delivery reporting, you need the API.

What you need before you start

  1. A Meta Business Portfolio (formerly Business Manager).
  2. A phone number that is not currently active on any WhatsApp account — landline or virtual numbers work if they can receive an OTP.
  3. A public website and legal business name matching your documents — this is what Meta checks during verification.
  4. A business email on your own domain. Free mailboxes slow verification down.

Going live in five steps

  1. Embedded Signup — click connect inside your platform and complete Meta's popup. It creates the WABA, attaches the number and issues the access token in about two minutes.
  2. Verify the business — upload GST certificate, incorporation certificate or a utility bill in your business name.
  3. Add a payment method to the WABA. Without a funding source, messages fail with a billing error.
  4. Get templates approved — usually within minutes for utility templates, a few hours for marketing.
  5. Send a test broadcast to your own number, then a small segment, then scale.

Messaging limits and quality rating

New numbers start at a 1,000 business-initiated conversations per 24 hours limit and step up to 10K, 100K and unlimited as quality stays green. Quality is driven by blocks and "report" taps — not by volume. Two habits protect it:

  • Only message people who explicitly opted in, and honour STOP instantly.
  • Keep marketing frequency low; lead with utility (order, delivery, payment, appointment) messages.

Cost model in plain terms

Meta bills per template message for marketing, utility and authentication categories, with rates set by country. Service (user-initiated) conversations inside the 24-hour customer service window are free. Your real cost per outcome is therefore: template cost ÷ conversion rate. A ₹0.80 utility message that recovers a ₹1,200 cart is the cheapest channel you own.

Common mistakes

  • Buying "unofficial" WhatsApp panels — numbers get banned and there is no appeal.
  • Uploading purchased contact lists — the fastest way to a red quality rating.
  • Writing marketing copy inside a utility template — Meta re-categorises it and may reject the template.

Start with one utility use case (order or appointment updates), prove the delivery numbers, then layer marketing on a warm, opted-in base.
