WhatsApp Flows: Forms, Bookings and Surveys Inside Chat
What Flows are, when they beat buttons and landing pages, design patterns for booking and lead capture, and completion-rate benchmarks.
Flows render a native, multi-screen form inside WhatsApp — dropdowns, date pickers, text fields — without sending the user to a browser.
When Flows beat the alternatives
- Versus buttons: any input with more than three options, or that needs free text plus structured data.
- Versus a landing page: anything where leaving the chat kills momentum — appointment booking, lead qualification, KYC-lite data collection, feedback surveys.
Completion rates are dramatically higher than web forms because there is no page load, no re-typing the phone number, and no login.
Design patterns that convert
Booking flow: Screen 1 service → Screen 2 date and slot → Screen 3 confirm details. Three screens maximum, one decision per screen.
Lead qualification: requirement → budget → timeline → contact preference. Pre-fill the name from the contact record.
Feedback: a single screen with a rating, one optional comment box, and nothing else.
Rules to respect
- Keep each screen under five fields.
- Mark optional fields clearly; every required field costs completions.
- Validate formats (pincode, email) inside the flow, not after submission.
- End with a confirmation message summarising what the user submitted.
Wiring the data
Submitted data arrives as a structured payload — write it straight onto the contact record and trigger the next action (create the booking, notify the assigned agent, start the nurture sequence). Do not make a human re-type it.
Measuring
Track flow opens, per-screen drop-off, and completion rate. Drop-off concentrated on one screen almost always means too many fields or an unclear label — fix that screen before touching anything else.
Start with your highest-volume form: whatever your team currently collects over five back-and-forth messages is the flow you should build first.
